Executive Assistant – Sample Job Description
We are on the lookout for a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support for our client’s bustling office. Working hours are from 8am to 5pm. This role involves a wide range of tasks, including but not limited to office management, travel coordination, and executive support to ensure seamless day-to-day operations. Key Responsibilities:
Office Administration:
- Supervise daily office functions, ranging from replenishing kitchen and copy room supplies to liaising with cleaning service vendors.
- Facilitate the placement and delivery of lunch orders for the office team.
Support to Executive Leadership:
- Deliver high-level support to the CEO and their family, which includes but is not limited to booking travel accommodations, arranging car rentals or private jet services, securing restaurant reservations, and executing various personal errands.
Meeting & Event Management:
- Take charge of the logistical aspects of both virtual and physical meetings, and coordinate conference calls for the CEO.
- Create and distribute agendas, and ensure all required materials are prepared ahead of meetings.
Local Travel & Errands:
- Perform local errands as necessary; no air travel or long-distance travel is required.
Correspondence and Documentation:
- Organize incoming and outgoing mail, scan and categorize bills and invoices, and manage auto registration renewals.
- Oversee household and auto insurance policies, ensuring they are up-to-date and comprehensive.
Reception & Visitor Management:
- Answer incoming phone calls and direct them to the appropriate staff member.
- Oversee the reception area and coordinate the receipt and dispatch of deliveries.
Financial Management:
- Execute financial tasks such as check printing through QuickBooks, and manage the mailing of checks to respective payees.
