Operations Manager – Miami, FL
An international university is expanding its global footprint through the launch of a new Global Campus Hub in Miami, FL. The Hub will support regional student recruitment, academic delivery, alumni engagement, employer partnerships, and operational coordination across the Americas.
The Operations Manager plays a central role in ensuring the efficient, day-to-day operation of the Hub. Working closely with the Global Campus Director, US-based staff, UK-based colleagues, and regional partners, this role supports service delivery, oversees daily operations, and ensures the Hub operates as a professional, well-run environment serving students, partners, and external stakeholders.
This is a hands-on, service-oriented role ideal for an operations professional with strong organizational, communication, and problem-solving skills who thrives in an international, fast-growing environment.
Key Responsibilities
Hub Operations & Facilities Management
- Oversee daily operations of the Hub, ensuring it is welcoming, professional, and fully functional
- Ensure meeting rooms, event spaces, student areas, and IT equipment operate smoothly
- Coordinate maintenance, repairs, and vendor services
- Develop and maintain local operating procedures aligned with institutional standards and US regulatory requirements
- Ensure compliance with local health and safety regulations and internal policies
- Coordinate room scheduling, space utilization, and event calendars
Administrative & Executive Support
- Provide high-quality administrative support to the Global Campus Director
- Prepare reports, presentations, schedules, and operational documentation
- Coordinate communication between the Florida Hub and UK-based teams to ensure smooth information flow
- Support recruitment, onboarding, and HR processes for Hub staff as needed
Stakeholder Engagement & Event Coordination
- Support planning and delivery of events, visits, workshops, employer activities, alumni gatherings, and student engagement initiatives
- Liaise with employers, education partners, community organizations, and service providers
- Support engagement with prospective students and alumni
- Ensure a high-quality experience for all Hub visitors
Team Support & Supervision
- Schedule staff coverage, oversee training, and ensure consistent service standards
- Conduct regular one-on-one check-ins and performance reviews
- Support digital literacy and effective use of operational tools and systems
Finance, Procurement & Resource Management
- Monitor local budgets in coordination with central finance teams
- Process purchase orders, manage expenses, liaise with vendors, and maintain accurate financial records
- Monitor use of space, equipment, and staffing resources and recommend improvements
- Ensure procurement follows US legal requirements and institutional policy
Project & Data Support
- Provide operational support for strategic Hub initiatives, including marketing campaigns, partnerships, and student-facing programs
- Track engagement metrics, event attendance, foot traffic, and space utilization
- Support implementation of new systems and processes as the Hub scales
Compliance, Risk & Governance
- Support adherence to institutional policies related to finance, HR, procurement, safeguarding, and data protection
- Maintain accurate documentation and ensure compliance with local regulations
- Support risk assessment and business continuity planning for the Hub
