Administrative Assistant – Palo Alto, CA
Responsibilities
Office management
- Meet and greet visitors
- Answer and direct incoming calls
- Order office supplies (stationery, snacks, etc.)
- Order meals for business meetings
- Maintain and oversee office appearance and organization, including conference room,
reception area and general office areas - Coordinate office relocation and decoration projects as needed
- Support the Head of China Operations on administrative requests in a timely and
thorough manner - Other ad hoc assignments
- Team support
- Assist senior team member(s) on expense reports and office bills settlement
- Provide general administrative support to the investment team, including photocopying,
scanning, filing, etc. - Assist in the preparation of materials for meetings and presentations
- Arrange travel for investment team and visitors, including booking flights and hotels,
etc. - Other ad hoc assignments
Required Qualifications
- Bachelor’s degree
- 2-4 years relevant experience
- Fluency in English, Mandarin and Cantonese
- Demonstrated ability to work independently while maintaining a good team spirit
- Strong sense of responsibility
- Detail-oriented
- Highly organized and flexible
- High degree of discretion in dealing with confidential information
- Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
- Strong ability to multi-task, and adeptness at managing time
